How to share project files and access

This guide covers the cleanest way to hand off documents, assets, and account access without slowing down implementation.

Projects slow down most often when files arrive in fragments or access is missing for one key service. A single organized handoff keeps review and implementation moving.

BEFORE YOU START
  • Gather brand files, source copy, logins, and any reference links in one place.
  • Confirm who owns each account so approvals and security checks are clear.
  • Remove outdated drafts so the working version is obvious.

Use a single source of truth

Send one folder, one shared doc, or one message thread that lists everything needed. Avoid splitting assets across multiple apps unless there is a security reason to do so.

Label access clearly

Note what each login is for, whether two-factor approval is required, and who should be contacted if access fails. This avoids delays during setup.

Flag anything time-sensitive

If an access window is short, a registrar unlock expires soon, or a third-party approval is pending, call that out in the handoff so it is handled first.

When possible, grant temporary access roles instead of sending permanent owner-level credentials. It is cleaner for security and easier to revoke later.

Handoff complete

If the files are organized, the logins are labeled, and any deadlines are noted, the project team can begin setup without extra clarification rounds.
